Academic Program Specialist I

Job Description:

This position reports to the Academic Services Manager for the Department of Neuroscience and will function as the department’s recruiter for the Neuroscience PhD and Master’s programs and SNIP internship. The successful candidate for this position will be expected to maintain close liaison with and implement the policies of the Graduate School, Office of Admissions, and the UF College of Medicine Educational Affairs.

 Academic Support and Program Activities

Responsible for academically supporting the Department of Neuroscience Graduate Programs, Summer Neuroscience Internship Program (SNIP) and Postbaccalaureate Program. This person would support the SNIP and Postbaccalaureate Program Directors with student recruitment, application submittal and review, assist with planning and coordination of programs and their activities. Work to keep programs on schedule and functioning smoothly. Support program growth and development as necessary. The position is responsible website development and maintenance.

Event Planning

Plan and execute events for all department academic functions, especially the department T32 training grant, SNIP interns’ weekly seminars and postbaccalaureate professional development activities. Planning the logistics of recruitment visits to campus for prospective students and faculty.

Seminar Series

Responsible for the preparation of routine and special seminar flyers.  Manage the advertising of seminars via posters/flyers and email notification. Reservations of the DeWeese auditorium in the McKnight Brain Institute for recurring department seminars shall be made 2 years in advance.  Other seminar venues shall be reserved as needed. For special guest seminars, assist in making all travel arrangements for the guest speakers, preparing meeting itineraries for their visit, setting up events and tracking graduate student attendance at events.

Alumni Tracking

This person will be responsible for maintaining an alumni database for the SNIP and postbaccalaureate programs. Collaborating and editing a department newsletter from the Chair.  

Expected Salary:

$41,000 to $51,000

Minimum Requirements:

Bachelor’s degree and three years of relevant experience; or an associates degree and five years of relevant experience.

Preferred Qualifications:

Excellent written and verbal communication skills are essential, as are excellent organization and time management skills, for successful program operation. A high degree of computer skill with experience and proficiency. Knowledge of the policies of the Graduate School, Office of Registrar, Office of Admissions, Office of Distance Education, and College of Medicine is preferred. Position must have ability to communicate effectively and professionally in various media for the purpose of receiving and disseminating critical information and resolving complex problems. Requires the ability to identify program needs and to maintain, improve, and update webpage and student handbook. Requires knowledge and skill with web-based course management systems and email.
